Office Manager

Reports to: Lead Pastor


Essential Responsibilities:

OFFICE

  • Cover the office Mon-Thurs 9-12; 1-3.

  • Build a team to help with administrative duties.

  • Answer incoming phone calls and e-mails.

  • Check mail.

  • Sign for packages.

  • Maintain an organized filing system.

  • Be a copy machine master.

  • Order office supplies as needed.

  • Keep church calendar updated.

  • Be a point person for air schedule, alarm, and room reservations.

  • Greet & assist visitors, walk-ins, & appointments during the week.

  • Serve as host and point of communication for Sunday guests.

  • Be willing to counsel/pray with people over the phone.

FINANCE

  • Copy checks, make deposits.

  • Pay bills on time.

  • Give 10% of our weekly income to missions.

  • Post contributions & e-mail statements at end of year.

  • Process payroll, reimbursements, and IRA contributions.

  • Keep up with financial records (i.e. Quickbooks).

  • Keep up with church receipts.

  • Balance bank statements.

  • Give a spending report chart for board meetings.

  • Assign each expenditure to one of our 4 main budget categories.

    40% Salaries, 30% Facilities, 20% Ministry & Operations, 10% Missions

  • Create annual budget for board approval (November).

  • Compile yearly statistics for annual business meeting (January).

  • Compile tax information for W2 processing (January).

OTHER

  • New Hire Onboarding.

  • Update Church Metrics weekly.

  • Process connect cards.

  • Add information to database.

  • Send Letters/emails/surveys.

  • Let us know who to pray for on Tuesdays.

  • Help Dream Team coordinator process Growth Track paperwork.

  • Serve as executive assistant to lead pastor.

  • As with all ministry jobs, be prepared for other miscellaneous duties as needed.

  • Actively participates in Centerpoint services, groups, and events.

  • Is a team player and willing to help with other areas of ministry.

  • Is willing to tweak or change their ministry role at times.

  • Good chemistry with pastor and staff.

Every team leader at Centerpoint should do these four things:

1. Enlist -  Share the vision to help people understand the part they can play in the story. Usually, one on one, face to face recruiting is most effective.

2. Equip - Meet with your team at least once a month. Communicate details often. Make sure they have good tools. Model culture. Reproduce yourself.

3. Encourage - Recognize, reward, give shoutouts, cards, texts…Pray with them. Also encourage them to show up, be on time, use good judgement, etc.

4. Empower - Give them authority to oversee parts of the ministry. Let them schedule, organize, make decisions, solve problems.
